First Day Operator Quickstart Guide

Welcome to Cashy-Hub. This guide takes you through your first shift operating the counter, creating pawn deals, processing payments, and reconciling the cash drawer.

  1. Log in: Open Cashy-Hub in Chrome, enter your credentials, and authenticate.
  2. Open CashBook: Click CashBook in the top navigation bar.
  3. Verify Opening Cash:
  4. Select the Reconciliation tab.
  5. Count the physical cash in the counter till and enter the quantities under KASSA.
  6. Count the backup reserve in the store safe and enter the quantities under RESERVE.
  7. Verify that VARIANCE/DIFFERENCE is € 0.00 (highlighted in green).
  8. Click Submit Reconciliation. The button updates to Submitted with a checkmark.

Creating Your First Pawn Deal

Follow these exact steps when a customer arrives at the counter seeking a pawn loan:

Step 1: Open the Deal Wizard

Click the purple Create a Deal button in the top navigation bar. The Deal Wizard opens displaying "New Deal Creation".

Step 2: Customer Details

In Section 1 (Customer): - Select Registered if the customer is returning, or Guest if it is their first quick transaction. You can also click + Add secondary customer if two borrowers share ownership. - For returning customers, type the first 2 letters of their name in the search bar. Click their name to auto-fill their records (ID, name, email, phone, IBAN). - For registered accounts, input First Name *, Last Name *, and Email * (Phone is optional). - For Guest mode, only Email * is required; first name, last name, and phone are completely optional.

Step 3: Deal Metadata & Minimum Term

In Section 2 (Deal Metadata): - Select the Company * and Branch / Shop * from the dropdowns. - Enter the Pawn Duration (days).

[!IMPORTANT] Statutory Minimum Loan Durations: - Austria (AT branches): Minimum loan duration is 30 days. - Germany (DE branches): Minimum loan duration is 90 days. - Confirm the calculated Due Date (Task).

Step 4: Add Collateral Item

In Section 3 (Items): - Click + Add Item. - Click the category selector and select the matching category (e.g. Electronics > Smartphone).

[!WARNING] Vehicle Exclusivity: Motor vehicles (auto, pkw, car, motorrad) cannot be combined with general merchandise on the same deal. - Enter the Item Title * (e.g. iPhone 15 Pro 128GB). Every item must have a non-empty title. - Complete any category questionnaire fields that appear. - Enter the estimated Market Value (€) and Requested Payout (€). [!IMPORTANT] Minimum Loan Payout Rule: The payout must be at least € 100.01. The system will block submission with "Payout amount is less than €100.00, credit not allowed." if the payout is € 100.00 or lower. - Enter the Storage Label (e.g. BOX-A14-02).

Step 5: Payout Method & Deal Creation

In Section 4 (Transport & Payout): - Select the Preferred Payout Method *: Cash, Bank Transfer (requires valid IBAN), or Paypal (requires Paypal Address email). - In the Deal Wizard top action bar (next to the stepper), verify the DEAL TYPE toggle is set to Pawn. - Review the live summary in the right sidebar (Calculated Payout, Item Payout, Interest rate, Total Monthly Fees, Total Payout). - Click Create PAWN Deal. The button will show Creating... while submitting. - Upon success, the deal is booked with a permanent Booking Number (e.g. B-10948). The wizard automatically transitions into Management Mode, unlocking Steps 2 through 6 for category forms, appraisal details, customer comments, and timeline tracking. The deal card also immediately appears on the Home Kanban board.


Contract Extensions & Redemptions

When a customer returns to the counter:

Contract Extension (Verlängerung)

  1. Locate the deal on the Home Kanban board and double-click its card to open the Deal Wizard in Management Mode.
  2. Click Extend in the top action bar (next to the stepper).
  3. Complete the 5-step modal:
  4. Step 1: Review current loan principal and maturity date → Click Continue.
  5. Step 2: Select new extension duration → Click Continue.
  6. Step 3: Select loan adjustment (no_adjustment, redemption, or additional_payout) → Click Continue.
  7. Step 4: Review parent fees due today and next contract fee rate → Click Continue.
  8. Step 5: Select Payment Type and select your active store CashBook → Click Confirm Extension.

Deal Payback (Auslösung)

  1. Double-click the customer's deal card to open the Deal Wizard in Management Mode.
  2. Click Payback in the top action bar (next to the stepper).
  3. Complete the 5-step modal:
  4. Step 1: Review outstanding principal balance and accrued fees → Click Continue.
  5. Step 2: If adjusting fees, enter the new fee amount and type an explanation in the Notes field (mandatory) → Click Continue.
  6. Step 3: Ensure Remove items from storage automatically is toggled ON → Click Continue.
  7. Step 4: Select Payment Type and your active CashBook → Click Confirm Payback.
  8. Step 5: View the confirmation screen and click Done. Retrieve the collateral from storage and return it to the customer.

Evening Shift Closing & Daily Reconciliation

At the end of your shift: 1. Navigate to CashBookReconciliation. 2. Perform a physical recount of all notes and coins in the till (KASSA) and safe (RESERVE). 3. Enter the counts into the respective denomination fields. 4. Verify VARIANCE/DIFFERENCE is € 0.00. If there is a discrepancy, audit today's ledger entries under the Ledger tab before submitting. 5. Click Submit Reconciliation.
